Why Can’t You Trust an AI Proofreader?

AI is everywhere at the moment, from crafting CVs and building websites to generating images and checking documents for grammatical, tonal and factual accuracy. To some, this sounds like a perfect solution. Why hire someone to proofread your work when an AI proofreader can scan it in seconds and provide instant feedback?

AI proofreading does deliver some benefits, but as expanded upon below, it could turn out to be a hindrance, potentially wasting time and money and even causing reputational damage.

An AI proofreader is a software tool designed to identify and correct errors in spelling, tone, clarity and grammar, correcting them as it goes to deliver a polished piece of work that should stand up to the most rigorous scrutiny. With complex algorithms in place, these tools learn “on the job,” gradually enhancing their capabilities so they can provide you with an error-free document 100% of the time.

However, despite the promise of fast turnaround and accuracy, AI proofreading provides many of us with problems rather than resolutions.

The reasons for this vary. Some AI proofreading tools are much better than others and will bring you strong results. Some, on the other hand, struggle with surprisingly simple tasks. Below, we look at why you’ll no longer want to use AI proofreading and put your faith in the tried and tested method of fully-human proofreaders.

Manual proofreading involves a skilled person reviewing your work with a trained eye. A professional proofreader will read through the documents, checking that the tone, spelling and grammar are as they should be. It can be a slow process, but where AI does it fast, manual proofreading is a carefully executed skill that takes time. It requires the proofreader to check that the content is relayed as it was intended to be, rather than how it’s assumed to be.

A manual proofreader, such as our team members at McGowan Transcriptions, will check sentence structure, word count, punctuation, typos and word choice to finalise an easily readable document free from errors.

Without proofreading, some businesses may be at risk in more ways than you might expect. For instance, if a medical researcher is putting together a groundbreaking report, the language they use is likely to be extremely specific. One slight spelling mistake or an ambiguous note could vastly change the outcome of the report they have compiled. Having the report proofread allows the document to be checked and corrected where necessary.

Another example could be for answering customers or press enquiries. If a reply is sent without it being checked first, there could be unintentional brand damage caused, both financial and reputational.

You could think of proofreading as being an arm of PR, research, storytelling and so much more. Without it, the messaging can be misinterpreted, incorrect or poorly structured.

AI proofreaders can be fantastic, but this should come with a huge caveat – whilst AI proofreaders deliver fast, affordable proofreading, their true capabilities are questionable. We’ve curated the below reasons why you’d be better off with human proofreaders.

Accuracy is the biggest concern across both AI proofreading and manual proofreading, but it is perhaps more of a worry for those using the AI method.

AI proofreaders use special algorithms trained on extremely large datasets. As a result, they quickly pick up on errors made in the original text. However, the errors they make themselves stem largely from the tool not being sufficiently advanced to learn fast enough. This can be a concern in specialist trades where complex language, rarely used elsewhere, fills the content frequently.

Where it may be able to pick up on a missing capital letter or full stop, specific phrasing or terminology could become an issue.

Compare this to a human, specially trained to proofread items for that particular industry, and such errors are greatly reduced.

Context plays a huge role in the written word. It becomes very easy for something to be misunderstood if just one word is used in the wrong way. An AI proofreader will certainly help correct your work, but it might struggle when slang or acronyms are used. In such cases, it looks for a suitable alternative word where one isn’t needed. This could greatly affect how the text reads and what is being said.

When a human proofreader sees something like DVLA or a slang word, they know they are being used correctly. The same goes for industry-specific terms. The human proofreader has the experience and knowledge to know why and how those words are being used, whereas an AI tool will often struggle to read and understand what they mean.

You might have large volumes of written work that require proofreading, but if each adopts a different tone or style, an AI proofreader may not be able to grasp this. As a result, the piece’s impact could be lost as an AI tool uses its default capabilities to create the final proofed copy.

This difficulty in detecting tone, style or voice is where human proofreaders showcase their true skills. They know the target audience, they can reference past work, and they can change the style as and when required. This ultimately results in a more genuine, accurate and high-quality piece of work when compared with an AI version.

Even though AI delivers results at rapid speed, this can come at a detrimental cost. Where AI picks up on errors and corrects them, it does so based on its own assumptions of tone and style. If these don’t align with the writer, you’ll need to revisit the work and either make revisions yourself or look at another AI tool. This then takes additional time, which can come at increased cost.

Opting for the human equivalent, whilst initially slower, means the text will be carefully checked. It won’t just be reviewed from a spelling and grammar standpoint, but also for flow, structure and meaning. Should the proofreader need additional clarity from the writers, a channel of conversation can be opened, which allows the proofreader to ensure all writer guidelines are met.
